Job Description

The Position:

The Administrative Assistant position is located in the UNFPA North Macedonia Country Office. Under the direct guidance and supervision of the Admin/Finance Associate, the Administrative Assistant supports implementing the UNFPA Country Programme in North Macedonia. The Administrative Assistant is a part of a team which provides integrated programme and operational support within a system-strengthening approach fundamental to UNFPA’s overall strategy. The Administrative Assistant provides financial, administrative and logistical support to the programme and operations team in implementing the Country Programme Document 2021 - 2025.

Job Purpose:

You will be part of the team of the Country Office in North Macedonia and will provide continuous financial and administrative support in implementing the Country Program priorities. You'll be able to play an essential role in supporting the management and coordination of the planned activities. You will apply the existing systems and procedures to ensure achieving the goals. 

You would be responsible for the following:

  • Supporting the implementation of the programme and project work plans and budgets, and providing support in their revisions, executing the financial transactions following UNFPA financial rules. 
  • Supporting the preparation and following up on the funding requests and reports by implementing partners.
  • Supporting the Admin/Finance Associate and the program team in developing project proposals, annual plans and reports.
  • Support the operational activities for the UN Country Team and its working groups. 
  • Provide logistical, travel, administrative and financial support and follow-up on ongoing projects and events.
  • Supporting the organizing of the local procurement and distribution logistics for goods and services. 
  • Maintaining regular communication with the local vendors, delivery of goods by vendors and submission of invoices and related documents. 
  • Maintaining the office archiving system, including the digital files. 
  • Assisting the Admin/Finance Associate in implementing all operational procedures necessary for the smooth implementation of the activities. 
  • Providing support for other activities as requested by the Country Office team. 

 

Qualifications and Experience: 

  • Five years of previous professional experience in programme/ project administration and/or management;
  • Three years of experience in financial management, with knowledge of programme or project finance; 
  • Strong interpersonal and organisational skills; 
  • Computer literacy, including Microsoft Office programmes; 
  • Experience in using corporate programme & financial management software  (e.g.  Atlas/PeopleSoft, other EPR and/or G Suite is an asset);  
  • Experience with international organizations (UN, development agencies, international NGOs or others), particularly in areas relevant to the UNFPA mandate, will be considered an asset.
     

Education:  

Completed secondary level education required. First level university degree is desirable.

 

Languages: 

Language proficiency in both written and oral English and Macedonian. Knowledge of other local languages shall be considered an asset.
